HR update, March 17, 2020

To keep communication as clear as possible, and archive it for later use, the Office of Human Resources will be sending out periodic updates using this format.

If you have information that you would like to disseminate to all employees, please send that to brittnidegreve@augustana.edu and we will coordinate adding the information to a future HR update.

For now, we would ask that you limit any mass communications to avoid confusion.

Update on telecommuting

We had many questions on yesterday’s update announcing temporary telecommuting arrangements.  Here are some essential points:

  • This temporary arrangement is available through March 30, 2020,  as part of our extended spring break. It’s too soon to know if this arrangement will continue into April.
  • Employees should first talk with their  supervisor and then submit a  request using this form: Request Form
  • Requests will be reviewed and answered as quickly as possible.

  • If an employee works less than their normally scheduled time on any day, vacation time should be used to bring the hours up to the normal schedule.  

For those with medical issues:   Employees with an underlying health condition that makes them more vulnerable to a COVID 19 infection are encouraged to work with their supervisor to discuss ways to perform their work from home.   If work from home is not possible,  these employees may work with HR to discuss alternative options  

Relaxed dress code

For those employees who will continue to work on campus, we will relax our usual dress code. As visitors are limited we encourage you to “dress for your day” and be a bit more relaxed than normal.  Jeans are permitted and blue and gold are always a good choice.

Pepsico, Westerlin Athletic Center & Carver closures

In order to comply with CDC best practices, all workout facilities on campus will be closed beginning immediately.  Employees in these areas will focus on planning, deep cleaning, and other projects.  We anticipate reopening these buildings as soon as safety guidelines allow .

Temporary spending & hiring guidelines

As we enter an uncertain period due to COVID 19, the college asks that we all follow the following guidelines regarding all expenditures.  These spending guidelines apply to all fund types including gift funds, endowed fund, operational funds, etc.  

  • Student Employment.  While many students are both available and interested in work hours, please carefully consider if there is valuable work for students to complete.  During the extended spring break period, normal hour restrictions remain.  We will continue to monitor this situation, so promises about work beyond March 30th should not be made.
  • Overtime.  All overtime should be eliminated unless approved in advance by Kirk Anderson, CFO.  We understand that work demands are changing and would ask that you consult with HR about other options should you need additional help in your area.
  • Open Positions.  In the near future, most searches will be delayed until the situation stabilizes.  The job market is particularly volatile and with limitations on travel, delays in most searches are necessary.
  • Requisition Limits.  The requisition limit for goods will be temporarily reduced from $2000 to $1000 and for services the limit will be reduced from $5000 to $2500. 
  • P-Card and other Spending.   We ask that employees carefully consider the need for spending and delay spending as much as possible including P-card spending.  Until more is known about the return to campus, your assistance in minimizing all spending is greatly appreciated.
  • Travel:  All campus air travel is on hold including domestic, unless pre-approved by Kirk Anderson, CFO
  • Augie Choice: The use of Augie Choice will be temporarily suspended until further notice.
