HR update March 27, 2020
To keep communication as clear as possible, and archive it for later use, the Office of Human Resources will be sending out periodic updates using this format.
If you have information that you would like to disseminate to all employees, please send that to firstname.lastname@example.org and we will coordinate adding the information to a future HR update.
For now, we would ask that you limit any mass communications to avoid confusion.
Remote work will continue until April 7
As of now Augustana College will continue telecommuting until April 7.
Submitting your work time - it’s Friday!
Here’s a quick reminder for how time reporting will be handled.
On-site hourly/non-exempt employees. For any hours worked on campus, you should be punching in and out as usual on campus. If you have less hours than normal, the HR team will be adding COVID leave to bring you up to the hours you are normally scheduled to work.
Remote hourly/non-exempt employees. You should email your supervisor the number of hours worked at home each day. Supervisor must input these hours using a timesheet entry. The HR team will be adding COVID leave to bring employees up to the hours normally scheduled to work.
Remote salaried/exempt employees. You should email your supervisor any exceptions to your normal work hours. Supervisors should add any applicable sick or vacation time. Supervisors should notify HR of any COVID leave that should be applied for salaried/exempt employees.
Employees in academic departments. You should follow the above instructions except your hours should go directly to email@example.com rather than your supervisor.
Supervisors. It is essential that you add time for any hourly/non-exempt employees or they will not be paid for these hours. A refresher on timesheet entries is available here: TCP
If you have recently moved or received a new phone number and have not informed human resources, please send an email of the updated information to firstname.lastname@example.org.
Fitness Friday workout
We hope you and any of your remote co-workers can join us for today’s Friday Fitness workout at noon.
This will be streamed via Facebook Live and led by Jeff Rose who leads the strength and conditioning efforts for Augustana athletes.
We’ve asked him to turn down the intensity a tad for our campus group. Let us know what you think! We’ve also had interest in trying a “Wednesday Workout” at 4pm option. We’d welcome a variety of leaders, so let us know if you’d be willing to lead a future virtual workout.

Our colleagues in Augustana Dining are at it again. They are busy making available some of the favorites from our campus community.

Limiting email to student groups
As distance learning begins next week, email between faculty members and students will be essential. We are taking steps to limit mass emails to student groups in hopes that this will improve the odds of important emails being seen and read. C&M will continue to send regular updates to students and we would ask that most email messages be included in that vehicle which is being well read.
In the next few weeks, the ability to send emails to mass student groups will be limited to key offices on campus. Cabinet members will also have the ability to email to student groups, so if you have an immediate need, please contact your cabinet member. You will, of course, still be able to send individual students email messages. We will evaluate this new system and make changes as needed.
